Nicola Circelli Law(“we,” “us,” or “the firm”) respects your privacy and is committed to protecting your personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law. This policy explains what we collect through nicolacircellilaw.com, why we collect it, how we handle it, and the choices available to you.
1. Information we collect
Information you provide to us directly:
- Contact / consultation form: your name, email address, phone number, the type of matter you select, any details you include in your message, and your consent to be contacted.
- AI assistant (chat):the messages you type into the on-site assistant. Conversations may be stored and reviewed to respond to you and to monitor and improve the assistant's quality.
Please do not enter confidential case details, privileged information, or sensitive personal information in the form or chat. Share specifics on a confidential call once we have confirmed we can act for you.
Information collected automatically when you visit:
- Usage and device data through analytics — pages visited, the site that referred you, approximate location derived from your IP address, and browser/device characteristics and interactions.
- Marketing attribution — campaign tags (UTM parameters) and the referring website, stored temporarily in your browser so we can understand which channels (for example, our Google Business Profile listing) lead people to contact us.
- Security signals — our bot-protection provider processes technical information to distinguish genuine visitors from automated abuse of the contact form.
- Cookies and similar technologies used by our analytics and infrastructure providers.
2. How we use your information
- To respond to your inquiry and provide a consultation;
- To send you an acknowledgement and communicate with you about your request;
- To operate, secure, and improve the website (analytics, performance, and abuse prevention);
- To understand how visitors find us; and
- To comply with our legal and professional obligations.
3. No solicitor–client relationship
Submitting the form or using the chat does not create a solicitor–client relationship and is not legal advice. A solicitor–client relationship is established only through a signed retainer agreement. Please avoid sending privileged or sensitive details until we have confirmed that we are able to act for you.
4. Service providers and disclosure
We do not sell your personal information. We share it only with trusted service providers who process it on our behalf to operate the site and respond to you, including:
- Hosting & deployment: Vercel
- Database / lead storage: Supabase
- Transactional email: Resend
- Website analytics: PostHog and Vercel Analytics
- Bot protection: Cloudflare Turnstile
- AI assistant: OpenAI (processes chat messages) and, where enabled, LangSmith (quality monitoring of conversations)
- Reviews display: Google (Places API)
These providers are required to protect your information and to use it only to provide services to us. We may also disclose information where required by law, to enforce our terms, or to protect the rights, safety, or property of the firm or others.
5. Storage outside Canada
Some of our service providers store and process information outside Canada, including in the United States. Where your information is processed in another country, it may be subject to that country's laws, including lawful access by courts, law enforcement, and government authorities. By using this site and submitting information, you consent to this transfer, storage, and processing.
6. Cookies, analytics, and your choices
We use cookies and similar technologies for analytics and essential site functions. You can control or block cookies through your browser settings, and you may use your browser's privacy features; disabling some technologies may affect how the site works. The attribution data described above is stored in your browser's session storage and is cleared when you close the browser tab.
7. How long we keep your information
We retain personal information only as long as necessary to fulfil the purposes described in this policy — to respond to your inquiry, to maintain appropriate records, and to meet our professional and legal obligations — after which it is securely deleted or de-identified.
8. How we protect your information
We use reasonable administrative and technical safeguards — including encryption in transit, access controls, rate limiting, and bot protection — to protect your information. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.
9. Your privacy rights
Subject to legal and professional limits, you may request access to the personal information we hold about you, ask us to correct it, or withdraw your consent to its use (which may limit our ability to assist you).
